The 5 Core Steps:

  2. Clarify: In this step, you process what you’ve captured into clear and concrete action steps. You decide if an item is actionable. If it is, decide what the next action is. If it’s not, decide whether to trash it, incubate it for potential future action, or file it as a reference.
  3. Organize: Here, you put everything in its right place. Tasks get organized by project, context, and priority. Reference material gets filed away. Items to delegate go to the appropriate person.
  4. Reflect: This step involves regularly reviewing and updating your lists. This could be a quick daily check-in with your calendar and task lists or a deeper weekly review where you update your projects and goals.
  5. Engage: Finally, you use your system to take action. You choose your tasks based on context, time available, energy levels, and priority, and then you get to work.
